Track 03 · Internal chatbot

The procedure exists, but nobody knows which folder

An assistant for your team, trained on procedures, equipment manuals and the legal base. It answers the person in the field or at the desk, pointing back to the document it read from — so the answer can be verified, not just believed.

What it covers

4 modules
01

Manuals and procedures

Equipment documentation, internal procedures and work instructions go into one searchable place.

02

A pointer to the document

The answer comes with the name of the document and the place inside it. Whoever owns a decision can check the source before making it.

03

Who is allowed to see what

Not everyone has access to everything. The corpus is split by role, so field, office and management each see what is theirs.

04

What nobody could find

The unanswered questions are the list of procedures that are missing or badly written. It is the most useful output of the system.

Fleet, tickets with deadlines and invoicing in one system: the dispatcher sees the office, the technician sees the day's route on their phone.

How we work

3 steps
01

We collect the documentation

What is already written, what shape it is in and what still applies. An old manual that contradicts the current procedure is removed, not indexed.

02

We test it with the people who ask

The check is done by those who ask the questions daily — field and dispatch — not by whoever built the system.

03

It goes into use and we watch it

Every month we look at what it could not find and fill in the documentation. The system shows where the gaps are; you decide which ones to close.

How many times a day is the same thing asked

Twenty minutes about what your team knows, where it is written down and who is allowed to see it.
